The monster that ate IT
Bill Koch |
At this very moment, email retention is likely eating up more and more of your budget. And its appetite for resources will only grow — unless you take an entirely new approach. This month’s feature article shows how smart companies are reining in email retention while providing new efficiencies and security.
Last month’s dilemma asked you for your best advice about email retention policies. Your answers balance an appreciation for reality with a need to find new solutions. This month, we ask how you manage remote offices without adding an unnecessary new headcount. We need your best advice on how to provide great service from a distance.
We welcome your involvement, so please provide your best advice to business dilemmas posed by our readers or present a problem you’re currently facing. Real experience from the field helps everyone succeed.

Last Issue's Dilemma
The ever-expanding problem of email storage and retention
Our company first instituted enterprise-wide email in the mid-1990s. Not long after that, we ran into the problem of backing up huge email servers and personal folders. We instituted a policy that seems charming now — a maximum of 30 megabytes of email storage per account.
The policy was only loosely enforced on annual “clean up” days. Now we routinely back up email accounts that are 500 megabytes to even two gigabytes. This presents a huge drain on our ability to back up and restore data.
I don’t want my staff to spend a lot of time “policing” users, but something needs to change. What’s a good guideline for setting a firm policy about what we can realistically store and restore email accounts — and how do you enforce the policy?

This Issue's Dilemma
Remote control
My company is opening a series of small offices across the country. Naturally, these offices will all be connected back to our main office with our standard IT infrastructure. Most of these offices will have less than 20 people so there’s no need — or budget — to hire IT staff at each location.
I am worried about how I will manage and support these remote offices without trained IT staff at each location. Should I train one capable admin person at each facility to monitor the servers and deal with vendors, for example? Or should I keep this responsibility in my department and find a way to remotely monitor those offices?
— Marshall K., IT Manager
